Why manufacturing needs a specialized proforma invoice
Unlike service or retail invoices, a manufacturing proforma must satisfy three different audiences simultaneously: your buyer's purchasing team (who need clear pricing), their bank (who need HS codes and valuation for an LC), and the destination country's customs authority (who need country of origin and weight details). A generic invoice template rarely covers all three.
Key fields for a manufacturing proforma invoice
- HS / HTS Code — required for every line item on international shipments. Without it, customs will request the information and delay clearance.
- MOQ (Minimum Order Quantity) — state the MOQ per SKU so buyers understand the pricing tier on this proforma.
- Tooling / Mold Charges — list these as separate line items, not bundled into unit price. Banks and buyers need to see them broken out.
- Unit of Measure — use standard units: PCS, SET, KG, MTR, CTN. Customs uses UOM to verify declared weight and value.
- Country of Origin — required for preferential tariff calculations and Rules of Origin compliance (e.g. USMCA, RCEP).
- Gross Weight / Net Weight — include per-carton and total shipment weight. Banks use this to cross-check against the freight quote.
- Incoterms + Named Place — e.g. "FOB Ningbo" or "CIF Rotterdam." Never write Incoterms without the named place.
- Lead Time — state production lead time (e.g. "45 days from deposit receipt") so the buyer can plan their inventory.
- Payment Terms — manufacturing commonly uses 30% advance (T/T) + 70% before dispatch, or 100% LC at sight. Specify clearly.
- QC / Inspection Reference — if a third-party inspection is required (SGS, BV, Intertek), mention it in the terms section.

Payment terms in manufacturing
The most common manufacturing payment structures are:
- 30% advance + 70% balance — buyer wires 30% T/T to start production; balance due before shipment. Simple and widely used for trusted buyers.
- 100% LC at sight — buyer opens a Letter of Credit through their bank. The proforma invoice is the document used to apply for the LC. All HS codes, quantities, and Incoterms on the proforma must exactly match the LC terms.
- 50% advance + 50% on inspection — common for high-value tooling or custom machinery. A third-party inspection (SGS / Intertek) certificate is presented to release the final payment.
LC-specific proforma tips
If the buyer will open an LC against your proforma, follow these rules to avoid LC discrepancies:
- Every product description on the proforma must be replicated word-for-word in the commercial invoice and packing list.
- HS codes must match what will appear on the customs export declaration.
- The proforma value must be within the LC amount — do not estimate higher.
- Set validity dates on the proforma to match LC expiry (typically 90 days).
- State the port of loading and discharge explicitly — banks verify these against freight documents.
